Research Project activities involving personal data

Examples of project activities that are likely to involve the use of personal data are:

  • Organising and undertaking workshops, focus groups, etc

  • Interviews (e.g. face-to-face, telephone, online, etc)

  • Undertaking surveys (e.g. face-to-face, telephone, online, etc)

  • Analysing the outputs from interviews, workshops, focus groups, etc

  • Preparing reports for publication which may use data gathered during a project.

Legal basis for collecting data

In CEP’s work data collection will generally be on the legal basis of Consent from the data subject.

Data Collection

Personal data must only be collected for a specific clearly-defined and communicated purpose.  Consent to collect the information must be obtained in advance from the data subject. The data subject must be informed of the purpose of the data collection and that they have the right to refuse or withdraw their consent at any time.

Use of Data

Any personal data collected for research projects can only be used for the specific purpose which the data subject has consented to.  Should a different use be considered for the data, the informed consent of the data subject must be obtained in advance.

Storage and destruction of Data

All personal data must be stored and disposed of securely.  Electronic data must be encrypted using strong passwords and paper data records must be kept securely.  Destruction of paper records will be by a licensed data destruction company and electronic data will be securely destroyed.

All stored personal data must be accurate and should be up to date.

Access to data

Data subjects have the legal right to know what personal data has been collected/stored.  Data subjects can withdraw their permission at any point in which case the data should be securely destroyed.
